Special Events and Facilities Scheduling
USC Upstate offers a variety of facility spaces for rent. All facilities are rented on a first come – first served basis. A professional catering staff offers complete services for banquets, breakfasts, luncheons, receptions, dinners, meetings and conferences. Facilities Use and Scheduling
All facilities are subject to availability and to the policies and procedures
established by USC Upstate:
All paperwork must be completed at least 1 week prior to event.
On campus users are identified as recognized groups, departments and organizations of USC Upstate. The primary purpose and function of all campus facilities is the housing of college activities.
- Classes and University functions have priority in scheduling of campus facilities.
- The University reserves the right to cancel any user group should an irresolvable conflict arise. Users will be notified as soon as possible.
- The University does not allow facility use on extended closings and some holidays. On campus users are not charged a rental fee for University sponsored and endorsed events (with approval from chancellor or Special Events Office). Users are responsible for any support service fee incurred, to include, but not limited to security, food, custodial service and rental of audiovisual equipment.
External users are groups and organizations that are not directly affiliated with, or located on the campus of USC Upstate.
- External users are charged a rental fee for the use of USC Upstate facilities.
- All University facilities are smoke free. It is expected that all rooms will be left in the same condition at the end of the function. All decorations must be cleared through the Special Events Office. The use of nails, thumbtacks, tape, etc. on walls is prohibited.
- Support services available to on campus and external users include: audiovisual equipment, security officers and catering services. Users are required to use USC Upstate personnel to provide support services. Users may be responsible for the cost of rental equipment, through an outside vendor, if request exceeds University resources.
- No alterations may be made to university property. Users may not sublet to or assign any other parties on university property and facility.
- User will be responsible for any loss or damage to facilities and property caused by negligence or misuse.
- Users are responsible for removal of any items brought into the facilities at the conclusion of the event.
- This means: The University has priority. With the exception of wedding receptions, external events are not booked more than six (6) months in advance, unless special approval has been given from the chancellor or Special Event Office.
Special non university groups must have a signed letter of understanding in their file which affirms that they have read, understand and will abide by the policies and procedures, and that they will hold harmless USC Upstate. This applies to all programs, be they onetime only or continuous year round. Special programs must be endorsed by the department head as well as the faculty or staff individual involved. These special non-university groups may be charged a "Maintenance Fee" to cover the cost of custodial needs, electric, and other fixed costs and needs, directly or indirectly, associated with the program. This maintenance fee will be equal to ½ the normal non-profit rate.
We reserve the right to refuse any event where we assess the level of liability to surpass the institutional control level.
